Privacy & Refund Policy

How registration, cancellation and your personal data are handled for 16th Child Neurocon 2027.

Registration & payment terms

  • GST inclusive. All stated registration fees — Early Bird, Regular and Spot — are inclusive of applicable Goods and Services Tax.
  • Badge mandatory. The delegate badge is required for admission to all scientific halls, workshop venues, exhibition areas and meal zones.
  • Workshops charged separately. Pre-conference workshop registration is distinct from conference registration, at a flat fee of ₹1,500.
  • ID verification. PG students and residents must provide an institutional ID or HOD certificate. Foreign delegates must carry passport identification.

Cancellation & refund policy

A registration is issued to a named delegate and cannot be transferred to anyone else. If you are unable to attend, the registration may be cancelled by written request to the Secretariat. A cancellation charge applies, and the balance is refunded after the deductions set out below.

What is deducted from the refund

The amount refunded is the sum you paid, less each of the following. The remaining balance is returned in full.

  • The cancellation charge shown in the table above.
  • Goods and Services Tax and any other statutory tax already collected and remitted to the government on your registration, which cannot be recovered by the Secretariat.
  • Payment gateway, UPI, card and platform fees charged on the original transaction. These are retained by the payment provider and are not returned to the Secretariat.
  • Bank charges on the outward remittance, including correspondent bank and foreign exchange charges on international refunds.
  • The cost of any conference material, kit or accommodation already committed in your name and no longer recoverable.

How to request a cancellation

Write to childneurocon27@gmail.com from the email address used at registration, with the subject line “Cancellation request – [your registration number]”, enclosing:

  • Your registration number (for example 1001-16CN), shown on your confirmation.
  • A scanned government photo identity document of the registered delegate, for verification.
  • Proof of the original payment — the UTR or transaction reference, and the receipt submitted at registration.
  • The bank account details for the refund: account holder name, account number, IFSC, bank and branch. International delegates should also give the SWIFT code.
Requests made by telephone, WhatsApp or in person cannot be processed — only written requests to the address above are accepted. The Secretariat will acknowledge your request and confirm the amount payable before processing it. Approved refunds are released within 30 working days of the close of the conference, to the account you supply. Refunds are made only to an account in the registered delegate’s own name.

Other terms

  • Registrations are not transferable. A registration is issued to a named delegate and cannot be transferred, reassigned or sold to another person under any circumstances. If you cannot attend, the only option is to cancel under the schedule above.
  • Event rescheduling. Should the dates be rescheduled, your registration automatically remains valid for the new dates.
  • Accompanying persons and workshops. Cancellation of an accompanying person or a pre-conference workshop follows the same schedule and deductions as the delegate registration.
  • Complimentary registrations. Categories registered at no charge have nothing to refund; a cancellation request is still appreciated so the seat can be released.

Privacy & data protection

  • What we collect. Name, email, mobile number, institute, location, medical council number and membership number, solely to process your registration, issue badges and certificates, and verify CME credit.
  • No third-party sharing. Your personal data is never sold, rented or passed to commercial third parties without your explicit consent.
  • Security. Registration records, payment proofs and uploaded documents are stored on access-controlled infrastructure, readable only by the Secretariat.
  • Retention. Records are retained for the period required for certification, CME accreditation and statutory accounting, and are then removed.
